How to stop "where's my order?" calls
Buyers call because they don't know, and their own boss is asking them. Two things stop most of the calls: tell them at the six moments they care about, before they ask, and give them a page where they can check any time without calling you. Below are the six moments, copy-paste emails for each, and how shops set up a self-serve link.
The six moments buyers want to hear about
| Moment | What they want to know |
|---|---|
| 1. PO confirmed | You have it, the lines and revs are right, and the ship date you're committing to. |
| 2. Material in | Only for long-lead material or when it was the risk. |
| 3. At an outside processor | When plating, anodize or heat treat is between them and their parts, and it's close to the date. |
| 4. Date at risk | The day you know, not the day it's due. With a new date and why. |
| 5. Partial shipment | How many shipped, how many left, when the rest ships. |
| 6. Shipped | Quantity, tracking number, certs in the box. |

PO confirmed
Subject: PO 4500-18842 confirmed, ships Nov 6
Hi Jordan,
We have PO 4500-18842: 120 × CVA-4410 rev C and 24 × CVA-4432 rev B. Both ship by Nov 6. I'll let you know right away if anything changes.

Date at risk
Subject: PO 4500-18842: CVA-4410 now Nov 10
Hi Jordan,
Our plater moved the CVA-4410 brackets back two days, so they'll ship Nov 10 instead of Nov 6. The hinge fittings still ship Nov 6. If the 10th hurts your build, call me and we'll look at a partial shipment first.

Hi Jordan,
48 of the 120 CVA-4410 brackets shipped today, UPS Ground 1Z…, C of C and material certs in the box. The other 72 ship Nov 10.

Let them check instead of calling
Emails at the six moments cover the big news. For everything in between, give each buyer a page with their open orders: each part, the step it's at, what's shipped and what's left, and the ship date. A private link with no login gets used; a portal with a password usually doesn't.
That's how Tehdo does it. Each buyer gets a link to their orders. It updates as your people finish steps on the floor, so nobody types a status. Status emails go out only when you approve them, and you see the exact email first.

At VTN Manufacturing, a CNC shop in San Jose, Tehdo sent more than 340 buyer updates in the first month. Clinton Nguyen, VTN's co-CEO: "It gives the customer a peace of mind now. I used to get a lot of emails… now my email inbox is pretty silent."
Watch a PO go from email to the buyer's page (35 seconds).
If you're not ready for software
- Keep a shared sheet per customer with only the columns they should see (no prices, no other customers).
- Put the confirmed ship date in your PO acknowledgment, every time.
- Make "date at risk" emails a rule: the day you know.
Questions
How often should a machine shop update customers?
At the moments that change their plans: PO confirmed with a ship date, any risk to that date, parts at an outside processor if it's close, a partial shipment, and the final shipment with tracking. Between those, a page they can check on their own beats a weekly email.
Should customers need a login to see their order status?
Most buyers won't create an account with each supplier. A private link per buyer that opens their orders without a password gets used; a portal login usually doesn't.
